Shipping label created, but no first scan: find the missing handover
Separate the label, warehouse release and carrier receipt before deciding what to tell a buyer or which team should investigate.

Map each item to its parcel, record separate releases and explain what remains. A delivered first package should not hide an unfinished second one.

An order may need two parcels because the items need different protection, leave from different stock locations or are not ready together. First decide whether splitting is acceptable for the buyer’s intended use. A matching gift set may be less useful when only one part arrives. If a set must arrive together, agree an alternative before splitting. Confirm any changed shipping cost or processing arrangement before releasing the first parcel.
Keep the original order reference as the common link. Give each parcel a distinct working reference and list its line items, variants and quantities. Reconcile those quantities with the complete order, including anything held or cancelled. “Two boxes” is a count, not a contents record. Someone should be able to say exactly which purchased item is inside each box.
Use the same quantity basis across the order and its parcels.
| Field | How to record it | Interpretation limit |
|---|---|---|
| Ordered quantity and unit | Keep each order line with its ordered quantity and unit. List the components of a set separately from the number of sets ordered. | Component counts cannot be added to set counts when reconciling the order. |
| Quantity released in each parcel | Allocate each released quantity to its order line and parcel reference, alongside the matching release record. | A parcel count or allocated label does not establish which ordered units actually left. |
| Remaining quantity and outcome | For each line, reconcile released units, units still outstanding and units explicitly cancelled or resolved by another agreed outcome against the ordered quantity. Keep these groups separate. | A unit counted as released must not also be counted as outstanding; a first delivery does not close the balance. |
Record later returns, replacements and resends as linked movements so they do not inflate the original quantity ordered.
Imagine hypothetical order S-200 for two ornaments and one display stand. P-01 contains the first ornament and the stand; P-02 will contain the second ornament, whose finish is still awaiting approval. These references and circumstances are invented for planning. The map must account for both ornaments and the stand without treating the held item as already dispatched.
Suppose the buyer accepts the separate releases. Record that approval, then give P-01 its own packing and release record. Keep P-02 open with its remaining quantity and next responsible person. If P-01 is delivered, the order record should still show the second ornament outstanding. This prevents a successful first delivery from hiding the work that remains.
Before a parcel leaves, match its contents list, current label and actual box. Keep its selected service, active tracking reference, finished measurements and available handover record together. Where a collection record covers several cartons, confirm how it identifies the relevant parcel references rather than assuming every listed box was collected.
Etsy’s Shipping Policy describes valid proof of shipping as showing actual shipment to the buyer’s checkout address. Keep the evidence for each release available to the responsible team. A packing photograph can clarify contents but does not replace carrier handover evidence. For a held parcel, name the outstanding requirement and who can authorise its next action.
Give the buyer a clear summary of the parcel count, contents of each release and what remains to be sent. Pair each active tracking reference with its own package. Explain known differences in the arrangements without promising that both parcels will move or arrive together. If the second release is undecided, say which detail is being checked and when an update can realistically be provided.
Etsy documents adding a package and further tracking to a completed order. Check what the buyer actually sees after the update, especially when a shipping tool is involved. If the visible status suggests the whole order is complete while one item remains, clarify the outstanding parcel through the agreed buyer communication channel rather than relying on a broad status label.
If the buyer changes an instruction after P-01 has left, identify which items are still under your control before promising a correction. Update P-02’s contents and approval version if appropriate, then review its packing, label and quote. Keep any superseded tracking reference distinguishable from the active one so the wrong package is not investigated.
ShipStation warns that split orders no longer receive marketplace updates. Confirm how changes reach the actual preparation team instead of assuming a marketplace edit is enough. Reconcile the final quantities when the remaining parcel is released or another outcome is agreed. Close the record only when each item has a documented disposition and the buyer has the corresponding package information.
Your next decision
Use one order reference with separate parcel contents, releases and tracking. Keep the remaining work visible until every item has an agreed outcome.

Valid proof concerns actual shipment to the buyer’s checkout address; item and parcel matching is the article’s practical proposal.
