Separate the must-haves from the preferences

A reference image alone leaves room for interpretation. Describe the details that make the product yours.

  • Material, dimensions and finish
  • Colour reference and acceptable variation
  • Personalisation placement and exact spelling
  • What counts as a defect; what can vary

Agree the sample before the batch

Ask the team to confirm what they understood. Compare the sample with the written brief, mark changes and approve the version that should be used. Photographs are helpful, but may not show touch, weight or exact colour.

Keep changes in one place

Use a dated instruction with a version number. Ask who needs to approve a substitution, and what happens if an order cannot follow the approved brief.

1. Define the product

Use your internal item name, owned design reference or product document link.

Describe the details that make this product yours and what the buyer should experience.

Name the material, finish and any material that must not be substituted.

Use measurable requirements and units. Leave an unconfirmed measurement blank.

Identify the reference or colour standard. A screen photo alone may not show the exact colour.

Describe placement, font and limits. Use placeholders instead of real buyer names or other buyer data.

2. Agree acceptance and approval

Separate tolerances from defects. State what needs review or rejection.

Identify the sample or version, approval method and approver. Approval still needs to be confirmed.

Record a version/date and who must approve a material, design or supplier substitution.

Nothing is sent automatically. Do not include passwords, payment details or buyer personal data.
